The Edit Venue page is where existing venue details are modified. Venues may need editing to correct information, update addresses after relocations, adjust groupings as operations change, or mark venues as active or inactive based on current contracts or requirements.

Changes made here update the venue's record across the entire system. If the venue is currently deployed in active audit jobs, the updated information becomes available immediately. This doesn't affect historical audit data already collected at the venue.

Editing Venue Details

Go to Dashboard > Manage Venues > Edit.

Venue name

The venue's display name. Used throughout the system in lists, maps, reports, and auditor mobile interfaces. Clear, descriptive names help teams identify venues quickly. Can be updated at any time. Historical data remains linked to the venue regardless of name changes.

Unique reference

An identifier for the venue, often matching an internal reference number from existing systems (facilities management software, client databases, inventory systems). Useful for cross-referencing audit data with external records. Can be left blank if not needed.

Address

The venue's physical address. Used for location mapping, geographic filtering, and auditor navigation. Address changes don't affect historical data. The venue record remains the same, just with an updated location.

Venue groups

Categories or groupings assigned to the venue. Examples: "London Sites," "Public Toilets," "Wetherspoons Chain," "High Priority." Groups enable bulk operations (assign all venues in a group to one auditor) and filtered reporting (compare performance across venue types or regions). Venues can belong to multiple groups. Groups are created at Dashboard > Manage Venues > Venue Groups.

Active checkbox

Controls whether the venue is marked as Active or Inactive.

  • Active (checked): Venue is currently in use. Can be assigned to audit jobs, appears in standard venue lists, and is available for new deployments. Most venues in current contracts or operations should be Active.
  • Inactive (unchecked): Venue is not currently in use. Remains in the system with all historical data intact, but typically excluded from new audit job assignments. Use Inactive status for venues where contracts have ended, sites that have closed, or locations temporarily out of scope. Inactive venues can be reactivated by checking the Active box again.

What happens when status changes:

  • Making a venue Inactive doesn't remove it from existing audit jobs where it's already deployed. Those deployments continue unchanged
  • Historical audit data for Inactive venues remains accessible in reports
  • Inactive venues can still be manually added to new audit jobs if needed
  • Reactivating a venue (Inactive to Active) restores it to standard venue lists and makes it available for normal assignment workflows

Map view

Shows the venue's location plotted on a map based on its address. Displays coordinates (latitude and longitude) and geohash (a location encoding system used internally for geographic searches and proximity calculations). The map is for reference - location is set by the address field, not by clicking the map.

Saving Changes

Update Venue button

Saves all changes to the venue record. Updates apply immediately across the system. If the venue is deployed in active audit jobs, auditors will see updated information next time they sync their devices.

Cancel button

Discards all unsaved changes and returns to the Manage Venues list. Any modifications made since opening the Edit page are lost. Use this if changes were made in error or are no longer needed.

After Editing

Updated venue information appears throughout the system:

  • Audit job venue lists reflect the new details
  • Reports show the updated venue name and reference
  • Maps display the corrected location
  • Filters and searches use updated group assignments

Historical audit data remains linked to the venue regardless of edits. Changing a venue's name, address, or groups doesn't disconnect past audits. They remain part of the venue's permanent record.
