The Create Audit Job page is where audit operations begin. An audit job is the framework that connects checklists to venues and assigns them to auditors.

Before any fieldwork happens, the job needs to be set up here with core details: what it's called, what status it has, and optionally when it runs and what it covers.

This page handles the initial setup. Once created, the job appears in the audit jobs list where venues and auditors can be assigned and progress tracked. Jobs can be built as drafts and switched live when ready, or created live immediately if all details are finalized.

Field Details

Job Name

Visible to everyone with access to the job. Used throughout the system to identify the job in lists, dashboards, and reports. Clear, descriptive names help teams identify jobs quickly. Examples: "Wetherspoons Q4 2025" or "Public Toilets - March Inspection".

Description

An optional text field for additional context: client requirements, scope notes, specific instructions, or reminders about what the job covers. Appears in the job details but not in list views. Can be left blank if the job name provides enough information.

Status

Controls visibility and accessibility across the system:

Draft: Job is hidden from auditors. Use during setup before the job is ready to deploy. Remains invisible until changed to In Progress.

In Progress: Job becomes live and accessible to assigned auditors. Fieldwork can begin.

Completed: Marks the job as finished. Can be switched back to In Progress if needed, but doing so requires the job to be re-completed across the system.

Canceled: Indicates the job was stopped before completion.

Archived: An organizational label for jobs no longer in active use but kept for records. Does not hide the job, lock data, or affect reporting - purely for list management.

Target Start Date and Target End Date

For jobs with fixed timelines: contract periods, award deadlines, or improvement programs with defined windows. The system does not send alerts based on these dates. Used for workflow management and reporting within specific timeframes. Can be left blank for ongoing audits with no set end date.

Venues

Not assigned on this page. Venue assignment happens after job creation, supporting workflows where the job structure is repeatable but client venues change over time. For example, maintaining a standard audit setup while adding or removing sites as contracts begin or end.

Create Job

Creates the job with the entered information. The job will appear in the audit jobs list (Dashboard > Audit Jobs) where venues can be assigned, auditors added, and progress monitored. Draft status jobs remain invisible to auditors until status is changed to In Progress.
