The Create Audit User page is where new user accounts are added to the system. Auditor users (auditors) are people who need access to the platform - either as managers who set up and oversee audit operations, or as auditors who perform inspections in the field.
There are two user roles available: Audit Manager (managers with full system access to create checklists, manage venues, set up audit jobs, and review reports) and Auditor (field users with mobile access to complete assigned checklists at venues). The role determines what parts of the system the user can access and what actions they can perform.
Once created, auditors managers can log in with their email and password. Auditors can access the mobile application to complete fieldwork, while audit managers access the full dashboard for configuration and oversight.
Creating an Auditor
Go to Dashboard > Audit Users > Create Audit User.
Full Name (required)
The user's complete name. Visible throughout the system - in auditor assignment lists, audit job details, reports, and venue completion records. Used to identify who performed which work and who made which system changes.
Email Address (required)
The user's email address. Used for login credentials and system communications. Must be unique - each email address can only be associated with one user account. If the email already exists in the system, the account creation will fail.
Password (required)
The initial password for this user account. The user will use this password along with their email address to log in. Should be secure. Users can change their password after first login. Remember: auditors will be logging on while in the field, using their mobile device, so a memorable password is best.
Confirm Password (required)
Re-enter the password to confirm it was typed correctly. Must match the Password field exactly. Prevents account creation with mistyped passwords that would lock the user out.
Role (required)
Select the user's role from the dropdown. This determines their system permissions and access level:
Auditor Manager
Full system access. Can create and edit checklists, manage venues, create audit jobs, assign auditors, view all reports, and perform all administrative functions. Typically managers, supervisors, or administrators who oversee audit operations. Audit Managers access the full web-based dashboard.
Auditor (Audit User)
Field access only. Can view assigned venues and checklists, complete inspections on mobile devices, submit audit data, and add photos, voice notes, and comments. Cannot create checklists, manage venues, or set up audit jobs. These users perform the fieldwork rather than configure the system. Auditors primarily access the mobile application rather than the web dashboard.
Choose the role based on what the user needs to do. Auditors performing inspections don't need audit manager permissions. Managers configuring the system should be audit managers, not auditors (or audit users).
Contact Information (optional)
The following fields are optional and used for record-keeping, communication, or auditor management purposes:
Phone Number (optional)
Contact telephone number for the user. Useful for coordinating fieldwork, following up on incomplete audits, or resolving issues during inspections.
Address (optional)
Consisting of:
- Address Line 1 (optional)
- Address Line 2 (optional)
- Town/City (optional)
- Postcode (optional)
The user's address. Can be used for assigning auditors to geographically convenient venues, understanding travel logistics, or maintaining complete personnel records. Not required for system access.
All contact information fields can be left blank if not needed or can be added later by editing the user account.
Saving the User
Create button
Creates the user account with the entered information. The user can now log in with their email address and password.
The new user appears in the audit users list and becomes available for assignment to audit jobs (if an auditor) or can begin configuring the system (if an audit manager).
Cancel button
Discards all entered information and returns to the auditors list. No account is created. Use this if the user account was started in error or is no longer needed.
After Creation
Once created, users can:
- Log in immediately with their credentials
- Be assigned to audit jobs (if auditors)
- Access the system according to their role permissions
- Be edited to update contact details or change roles (Dashboard > Audit Users > Edit)
