The Edit Audit User page is where existing user account details are modified. Users may need editing to update contact information, correct errors, change roles as responsibilities shift, or reset passwords when users are locked out of their accounts.
Changes made here update the user's record across the entire system. If the user is currently assigned to active audit jobs as an auditor, updated information becomes available immediately in their mobile application and in manager views.
Editing User Details
Go to Dashboard > Audit Users > Edit.
Full Name
The user's complete name. Used throughout the system to identify who performed which work and who made which system changes. Can be updated if names change or were entered incorrectly. Historical audit data remains linked to the user account regardless of name changes - reports showing work completed under the previous name will display the updated name.
Email Address
The user's email address and login credential. Must be unique across the system. Two users cannot share the same email address. Changing the email updates the user's login credentials. The user will need to log in with the new email address going forward. Ensure the user is informed of email changes to prevent login issues.
Password
Update the user's password. Useful when users forget their password or when security requirements dictate password changes. The user will need the new password to log in. Coordinate password changes with the user to ensure they can access their account.
Confirm Password
Re-enter the new password to confirm it was typed correctly. Must match the Password field exactly.
Role
Change the user's system permissions by selecting a different role: Audit Manager: Full dashboard access for managers and administrators who configure the system, create audit jobs, and oversee operations. Auditor (Audit User): Field access for users who complete inspections on mobile devices.
What happens when changing roles:
- Audit Manager to Auditor (Audit User): The user loses dashboard access and administrative permissions. They can no longer create checklists, manage venues, or set up audit jobs. They can be assigned to audit jobs for fieldwork.
- Auditor (Audit User) to Audit Manager: The user gains full dashboard access and administrative permissions. They can now configure the system but may no longer appear in auditor assignment workflows depending on your operational structure.
Change roles when user responsibilities shift. For example, promoting a field auditor to a supervisory position (auditor to auditor manager) or adding field capacity to a manager's role (audit manager to auditor). One user can't hold both roles simultaneously. Choose based on their primary function. Or create two profiles for one person.
Contact Information (optional)
Phone Number
Contact telephone number. Can be updated or added if it was left blank during account creation.
Address Line 1
Address Line 2
Town/City
Postcode
User's address details. Can be updated as users relocate or corrected if entered incorrectly. Useful for geographic auditor assignments and personnel records.
All contact information fields remain optional and can be left blank if not needed.
Saving Changes
Update User button
Saves all changes to the user account. Updates apply immediately across the system. If the user is currently logged in, some changes (like email or password) may require them to log out and log back in with the new credentials.
Cancel button
Discards all unsaved changes and returns to the auditors list. Any modifications made since opening the Edit page are lost. Use this if changes were made in error or are no longer needed.
After Editing
Updated user information appears throughout the system:
- Audit job lists reflect the new name
- Reports show updated user details for work they've completed
- Login credentials change if email or password were modified
- Role changes affect what the user can access next time they log in
Historical audit data remains linked to the user account regardless of edits. Changing a user's name, email, or contact details doesn't disconnect past work - all inspections they completed remain part of their permanent record and continue to appear in reports tied to their account.
